The Challenge

Fragmented Procurement

Purchase requests and vendor interactions were scattered across disconnected systems and manual channels, making end-to-end visibility across the procurement lifecycle nearly impossible to achieve.

Manual
Approvals

Approval workflows relied heavily on manual intervention at every stage, slowing down decision-making and creating avoidable bottlenecks across departments.

Supplier Collaboration Gaps

The absence of a structured digital channel for vendor communication led to delays, miscommunication, and inconsistent supplier engagement.

Limited
Visibility

Leadership had little real-time insight into procurement activity, making it difficult to track spend, monitor compliance, and measure performance with confidence.

Why SAFAL?

Rather than undertaking a disruptive ERP overhaul, PPL wanted a procurement layer that could work seamlessly within its existing SAP environment while transforming the buyer and supplier experience from end to end.

With SAP remaining in the system of record, SAFAL provides an integrated procurement layer where sourcing activities, from RFQs and supplier documentation to negotiations and approvals, can be managed centrally. PRs are fetched into SAFAL for sourcing, with the resulting PO pushed back into SAP.

Solution & Implementation

SAFAL's implementation team followed a structured rollout designed to digitize PPL's procurement workflows while integrating with its existing SAP environment.

What Was Delivered

Business Outcomes

The transformation strengthened procurement visibility, supplier collaboration, process governance, and operational continuity across PPL's procurement environment.

  • Faster Procurement Cycle : Procurement cycle times fell significantly as manual; paper-driven steps gave way to automated, streamlined workflows.
  • Better Supplier Collaboration : A structured digital sourcing environment brought RFQs, quotations, documentation, T&C discussions and negotiations into one platform, reducing reliance on scattered email and telephonic communication.
  • Increased Visibility : Real-time dashboards gave leadership clear, end-to-end visibility into procurement activity for the first time.
  • Higher Adoption : Intuitive, purpose-built workflows drove strong adoption across procurement teams, minimizing resistance to change.
  • Improved Compliance : Standardized approval of workflows strengthened governance and ensured consistent policy adherence across the organization.
  • Reduced Manual Effort : Digitizing supplier communication, documentation, sourcing and negotiation activities reduced reliance on manual email and telephone-based coordination.
